As Senior Office Services Coordinator in our Toronto Office Services Team, you will be responsible for the efficient and effective management of building operations, with a focus on maintaining a fully operational, clean, safe, and secure environment.
Your role directs the day-to-day activities of the cleaning team, manages contractor relationships, oversees large-scale projects, and ensures compliance with all health, safety, and security requirements in accordance with the province of Ontario and firm standards.
Key responsibilities for your role include managing the cleaning team by directing daily tasks, revising assignments as needed to ensure high standards of efficiency, cleanliness, and hygiene, and monitoring performance while providing feedback and promptly addressing any issues. You will also oversee contractor and vendor management by developing strong working relationships, coordinating contractor activities to maintain and improve the building, and evaluating contractor performance to ensure all work meets firm standards and regulatory requirements.
In addition, you will manage large facilities projects such as renovations, repairs, and upgrades. This includes gathering and evaluating quotes, preparing project proposals, seeking necessary approvals, and overseeing project execution to ensure timely completion within budget and scope. You will also schedule and execute maintenance activities across trades, manage office repair and maintenance processes end-to-end, and handle invoice submissions to close out work orders.
Building security is another key responsibility, where you will manage security operations to meet firm protocols, ensure security systems are operational and up-to-date, and coordinate with vendors and stakeholders to address any security concerns. Health and safety compliance is also critical, as you will facilitate and manage all aspects of health and safety, including first aid, fire drills, and safety meetings, while ensuring compliance with the Occupational Health and Safety Act (OHSA) and other relevant regulations in Ontario. You will maintain accurate safety records, oversee access control measures, and provide training and guidance to colleagues on health, safety, and security systems.
You will provide direct assistance and back-up support to the Office Services Team Leader and teammates across various office services functions. You will contribute to the overall success of the team by sharing best practices, collaborating on projects, and supporting cross-functional initiatives.
