You will maintain a deep understanding of leadership priorities to strategically schedule appointments and independently resolve conflicting demands, even in the absence of explicit instructions.
You will design and oversee intricate, multi-segment international and local travel itineraries. You will use strong discernment to evaluate travel logistics against business priorities, proactively identifying and mitigate potential schedule conflicts or risks while seamlessly adapting to frequent, last-minute changes.
You will track, evaluate, and prioritize all incoming communications. You will draft professional, polished, and well-formatted executive correspondence and documents under strict deadlines.
When appropriate, you will take the initiative to respond to communications and manage inquiries on behalf of client service teams. You will proactively organize and manage detailed, complex calendars across multiple international time zones.
You will plan, coordinate, and execute major client meetings, internal conferences, and cross-functional projects. You will facilitate seamless collaboration across diverse cultural contexts and international time zones, ensuring all key stakeholders are aligned and logistical operations run flawlessly.
You will actively manage and submit timely timesheets and expense reports in strict compliance with firm policies. You will exercise the utmost discretion and maintain absolute confidentiality when handling highly sensitive firm, client, or team data.
You will act as a highly professional and credible point of contact, building trusted, collaborative relationships with internal team members, global administrative networks, and external client offices.

- University degree or equivalent educational qualification
- 10+ years of proven experience as an Executive Assistant within a Fortune 500 company or professional services firm, providing dedicated, high-level support to C-suite executives, Managing Directors, or equivalent senior leadership
- Ability to thrive in a dynamic, fast-paced, and deadline-driven environment; capable of multitasking seamlessly, navigating ambiguity, and adapting to frequent changes with strict composure. Flexibility to work extended hours during peak operational periods is required
- Comprehensive expertise in orchestrating complex global travel arrangements (including flights, accommodations, and secure handling of visas/passports) and a proven track record of flawlessly planning and executing significant meetings and conferences across multiple international time zones and cultures
- Exceptional analytical and decision-making abilities, demonstrating a highly pragmatic, solution-oriented approach to problem-solving, even when faced with uncertainty
- Advanced proficiency across the Microsoft Office Suite, including Word, Excel, PowerPoint, PowerPoint, and Outlook
