As an Administrator in the JNO Social, Healthcare and Public Entities (SHaPE) team, you will support the practice operations and contribute to the growth and transformation of our practice.
You will work closely with SHaPE leadership and consulting teams, driving day-to-day operations and client business. Your main areas of responsibility will include meeting facilitation, documentation, collaboration, and general practice support.
You will work closely with SHaPE leadership, consulting teams, and drive the day-to-day operations and client business of the practice. You will join a team of talented and diverse individuals initially owning four main areas of responsibility:
1. Meeting Facilitation, Coordination, and Follow-Up
  • Schedule and facilitate expert meetings, ensuring all logistical details are managed efficiently
  • Maintain daily contact with client interfaces for scheduling, preparation, and follow-ups
  • Coordinate with experts for pre-meetings and distribute necessary materials to participants
  • Handle and process honorarium payments for participants and speakers
  • Ensure secure handling and protection of confidential information
2. Documentation and Standardization
  • Work with consultants and specialists to prepare and submit necessary documents to clients on time, ensuring compliance with deadlines and requirements
  • Standardize processes for document submission, expert meetings, and on-site visits coordination, ensuring consistency and efficiency
  • Document and communicate processes to clients and internal teams, facilitating smooth operations
  • Maintain confidentiality by limiting access to sensitive information and ensuring compliance with firm policies
3. Collaboration and Process Improvement
  • Collaborate internally with SHaPE leadership, CSTs, Compliance, Finance, and Legal teams, and externally with clients, experts, and their assistants to streamline practice processes
  • Standardize meeting and on-site visit processes, to improve document preparation, venue preparation, and honorarium processes
4. General Practice and Spatial Team Support
  • Support SHaPE and adjacent firm service personnel teams (e.g., Client Impact Hub, EA) on ad hoc/regular research, data analytics, and reporting requests and lend a hand to proposal preparations
  • Handle external firm visitors during internal/external events at JNO
  • Contribute to organizing practice events and meetings
  • Assist in preparations for internal/external audits

  • Comfortable with Excel and data analysis including the ability to learn other applications
  • Ability to communicate with multiple stakeholders (including clients and senior leaders of the firm) and anticipate/understand their individual needs
  • Ability to work in teams and collaborate to generate greater impact
  • Willingness and ability to work in an agile environment, including ever-evolving team priorities and scope
  • Willingness to show presence in external events as well as internal meetings as required
  • Experience working with public sector entities like ministries, government agencies, or academic institutions is preferred but not required
  • Demonstrated experience in supporting multiple initiatives in parallel is preferred but not required
  • Basic project management experience is preferred but not required
  • Native language fluency skills in Japanese and business level English are required
