As a Conference Administrator based in Tokyo, you will work within the Client Impact Hub and collaborate with the Conference Manager, Senior Conference Coordinator, another Conference Administrator, and the Event Committee teams to deliver seamless, high-quality event experiences that reflect McKinsey’s standards of excellence. Furthermore, as part of the Client Impact Hub, you will be assigned to and assist with various project-based tasks, contributing to broader office initiatives and strategic goals.
As a Conference Administrator, you will support the end-to-end event preparation process, helping to ensure smooth coordination from planning through execution and contributing to the successful delivery of each event.
You will play a key role in preparation management by taking minutes during planning meetings, clearly documenting decisions and next steps, collecting progress updates from relevant teams, maintaining the overall to-do list, and supporting the development of materials used to track and report progress. These responsibilities will help drive clarity, accountability, and alignment across teams, strengthening the overall rigor and effectiveness of the event preparation process.
Beyond preparation management, you will support broader event operations such as coordinating vendor registration, managing invoices, arranging transportation and catering, and handling material shipments. These responsibilities will contribute to the efficient delivery of both internal and client-facing events.
In addition to these responsibilities, you may also support priority client activation and outreach efforts for the Japan Office, such as cold calls and cold letters, as requested and aligned by the leadership team. This work will contribute to broader office priorities and strategic objectives.

- Bachelor’s Degree or equivalent work experience
- 2+ years of administrative or equivalent experience required; experience in IT helpdesk is a plus
- Strong technical skills, including proficiency in Outlook, PowerPoint, Word, and Excel
- Outstanding organizational skills; detail-oriented; able to prioritize and multitask; strong ownership evident through responsibility and accountability for the end product; highly proactive mindset
- Ability to expand role beyond responsive support to proactive contributions and ownership for administrative tasks; ability to work independently
- Able to work efficiently and effectively in a fast-paced, deadline-driven environment
- Business-level communication skills in both Japanese and English, written and spoken, is required
